CONFERENCE FUNDING GUIDELINES

IMPORTANT NOTICE:

ALL documents must arrive on time and COMPLETE

Incomplete applications will NOT be submitted to the committee for review

Applications are due by specific deadlines (see below)

No retroactive support

APPLICATION DEADLINES (2026-7)

Applications accepted 4 times per year:

February 10, May 3, July 29, December 1 (dates set to align with major conference calendar)

Replies will be given within 3 weeks of each deadline.

Funding is subject to the center's budget limitations.

 

ELIGIBILITY

Support is available to graduate students and postdoctoral researchers registered at the Technion during the travel period.

APPLICATION PROCESS

1.  Submit your request via the online form below

Indicate your research topic at the Technion

Explain the relevance of the conference to your research

Are you presenting a Poster or giving an oral talk, is this an invited lecture?

2.  Limit: Up to two applications per calendar year (one year from the last approved travel)

If two requests are submitted within the same calendar year, the total combined support cannot exceed the maximum amount listed below.

3.  Maximum support per application:

a)  PARTICIPATION IN CONFERENCES

(Travel, accommodation, and registration subsidies for presenting your work at the Technion)

a. Europe: up to $1,500 (including VAT)

b. USA / Far East / South America: up to $2,500 (including VAT)

Requires matching of at least 40% from other sources:

Advisor: minimum 25% of total cost

Self-funding ("Kakam"), Graduate School, Other sources: remainder

(If 40% matching is not possible, explain in the advisor's recommendation letter)

c. Israel conferences: Maximum $800 (including VAT).

   Requires matching of at least 50% from other sources

NOTE: If you are NOT presenting your work, the advisor must provide justification in the recommendation letter

EXPECTATIONS & REQUIREMENTS

6.  The center expects:

If 2 or more students travel to the same conference: At least 2 students must share accommodation (room or Airbnb apartment—choose the cheaper option)

Registration: Check for student discounts or financial aid. Please send us organizer approval/disapproval

7.  Support purposes:

a)  Participation in conferences

Subsidy covers travel, accommodation, and registration costs

You must present work done at the Technion

SUPPORTING DOCUMENTS

8.  Required documents:

Letter of support from your advisor

For postdocs: "Travel authorization form" from the Vice President of Academic Affairs office, approved by your Dean's office.

AFFILIATION & ATTRIBUTION

9.  Affiliation requirements:

-All posters presented at conferences must include the Helen Diller Quantum Center logo

-All publications resulting from work must list affiliation as follows:

"Department of [X] and the Helen Diller Quantum Center, Technion, Israel"

-Example publication format:

Israel Israeli 1,2

1 Department of XXX, Technion

2 Helen Diller Quantum Center, Technion, Israel

POST-TRIP PROCEDURES

At the end of your trip:

-Send an email to the Helen Diller Quantum Center (pazitsav@technion.ac.il) confirming that:

Trip-related invoices and receipts have been submitted to Technion Finance department for

reimbursement, according to the Technion formal procedure.

-Payment has been approved by the Technion Finance Department.

 

Receipt of the reimbursement for the trip is subject to the trip approval in the SAP portal and according to the approval and information sent to those entitled from the portal.
